CMDB and IT asset management in 2026: what nine service desks document, and on which plan

What is the difference between asset management and a CMDB?

IT asset management tracks what you own: hardware, software and licences, from purchase to retirement. A CMDB records configuration items and the relationships between them, so you can see which business services depend on which servers, applications and network devices. Asset records answer 'what do we have'; a CMDB answers 'what breaks if this changes'. See CMDB and asset management in the glossary.

Why does discovery matter?

Manual CMDB records go stale as soon as a server is rebuilt or a laptop changes hands. Discovery scans the estate and updates configuration items automatically. Freshservice describes agentless discovery, which works without installing software on each device [Freshservice IT asset management]. ServiceNow describes Discovery across on-premises and cloud and says its CMDB can 'assess data accuracy continuously' [ServiceNow CMDB]. Jira Service Management, SysAid and Zendesk make no discovery claim on the pages we read, so ask how their asset records stay current.

What changed in 2026?

Two deals point at the same gap between asset records and what is really running. ServiceNow completed its purchase of Armis, an asset visibility and cyber risk company, on 20 April 2026 [ServiceNow newsroom]. Zendesk acquired intellectual property from beams and hired its team on 15 June 2026, adding SaaS and AI tool visibility, governance and provisioning to its Employee Service platform [Zendesk newsroom]. Neither changes our scores until the capability appears on the product or pricing pages.

Do you need a CMDB at all?

It depends on how your desk works. If you run formal change control with impact analysis, have audit requirements for configuration data, or support services that depend on each other, a CMDB earns its upkeep. If your desk mainly handles requests and incidents for a modest estate, an asset list and good categories can be enough to start, and some tools let you add a CMDB later on a higher plan. How do you test a CMDB in a trial?

  1. Import a sample of 50 to 100 configuration items from your current records.
  2. Relate them to one business service, for example email or a finance application.
  3. Raise a change against one item and check whether the tool shows the affected service.
  4. Run discovery, if offered, and compare what it finds with your records.
  5. Confirm which plan includes everything you just used, and whether any part is an add-on.
